AGENDA 2: INFORMATION ON OUR NOVEMBER & DECEMBER 2008, JAN 2009 CONTEST
Nov contest (Flora & Fauna):
- 13 participated (7 members, 6 public).
- Photos collected: 39 (27 members, 12 public).
- Contest Fees of $65 received.
- 5 (2 members, 3 public) submitted after the official due date.
Dec contest (Percutian Sekolah):
- 8 participated (5 members, 3 public).
- Photos collected: 20 (14 members, 6 public).
- Contest Fees of $40 received.
- 2 public submitted after official due date.
Summary from both contests:
- 1 submission without contest form & soft copy.
- Extended due date (extra 3 dys) was suggested by 547 and agreed by 502.
- Informed to our Advisor a week after.
- Extension was made upon request from public & 2 members was unaware of the contest.
- Photos were passed to our Advisor on 14/2 for judgement.
Jan contest (Back to School):
- No submission received.
Event for the Nov & Dec 2008 contest prize presentation
- Planned previously on Feb 2009 @ Residence of Zolkepli bin Haji Ibrahim
- Suggestion: to be done in a separate event as venue is thought to be misappropriate with event. Timing problem as well.
- Uda Jol's House Warming: slideshow & gallery display only.
- Slideshow: stages of house development of Uda's residence. Photos by each team member.
- Gallery: best photos by each member (max 3 photos submitted to AJK Gallery). Photo format: 6R, matte, with border.
- Photo Clinic Session for previous Night Photography photos. TBC with our Advisor.

Secretary
- Letter of appointment - to be submitted after every member is officially registered as member of GPPS.
- Registration as GPPS member - to be confirmed again by 110
- Suggestion: to register team as a separate entity (to be discussed further & 502 to find out the requirement of team registration)
- Action to be taken by our non-active team members (names listed in our Secretary record): find out the status (stay in team with valid reason or leave the team with $ refunded).
- $5 entitlement to our Secretary for communicating every team event to all team and family members (no exception). All calls and messages have to be recorded and filed for audit purpose.
Finance
- For confidentiality issues, the financial report for 2008 & Jan 2009 will be kept by: Finance, Chairman, Secretary & to be submitted to GPPS upon request.
- 2 still haven't pay the 2008 monthly fees.
- Provide quarterly statement of account to each member.
PROs:
- 2008: So far, so good. Commented by 180 on Family Day: Excellent but to reduce on food supply.
- 2009: team welfare such as outing & workshop: needs suggestion from team members. Any suggestion on outing, please provide details (venue, date, contact person) to PRO1.
- Issues on team member availability & finance were addressed.
- Outing will be carried on with 3 or more members confirmed attending the outing.
- Ground of rule: 1 outing per month to be maintained for the meantime. Additional outings will be at own personal expenses (such as collection of $3 for refreshments).
- So far, outing suggestion:
- 799: Anugerah RTB fireworks (14 Feb) - no confirmation
- 903: Governmental buildings, Mencatar perahu @ Kg Ayer, Bukit Marakucing @ Subok
